8 ways to improve wine quality and stay organized over harvest

Whether your winery brings in 5 tons or 5,000 tons, getting ready for harvest takes time, sufficient planning, and financial investment (enter harvest intern expense). However, all that work could be compromised if there isn’t proper organization throughout the entire process. Without it, you might end up burning yourself out. That is when mistakes start to happen, details fall through the cracks, and your level-headed state of mind becomes threatened.

Although not all wineries share the same workflow procedures or winemaking styles, there are some shared ways to avoid many operational headaches. We spoke with some of our boutique producers, as well as some of our larger clients, on their secrets to maintaining, if not increasing, wine quality and preserving their sanity during this chaotic time of year.

Here are some of common themes among successful wineries:

1) Strong vineyard tracking

Having the ability to record and access fruit maturity and phenologic data from anywhere, including right in the middle of your vineyard. And being able to access historical data when identifying problem blocks, as it can help you craft proactive strategies to ensure quality this year and for years to come.

2)  Plan out your picks

Don’t get caught without a home for your fruit! Using real-time vineyard data, estimate your pick dates in advance, especially for your largest lots. This helps to ensure that you don’t have to hold fruit in the cold room (if you’re lucky enough to have one) until space frees up which could compromise quality.

3)  Digital fermentation tracking

Get your Brix and Temperature readings recorded into your software the second it’s taken by your team, thereby giving you instant access to any problem spots that may arise. We all know how critical catching those temperature spikes can be and how a slight slip-up could affect quality.

4)  Get external lab results immediately

"Hey, winemaker, how much did it cost to produce that wine?"

Let's be real. We've all been prodded by someone in accounting wanting information on how production dollars are being spent. There’s a very good reason for this...

Outpost Wines Saves 10 – 15 Hours Per Week and Streamlines Cellar Operations

Outpost is an ultra-premium winery in Angwin, California. The winery was established in 1998 with the vision of producing wines that are a living, breathing representation of the 28 acre estate vineyard. Outpost crafts 100% varietal bottlings of Cabernet Sauvignon, Zinfandel, Petite Sirah and Grenache. Under winemaker Thomas Rivers Brown’s leadership, the grapes are harvested late in the season and processed with as little manipulation as possible. Each block is fermented separately so the winemaking team can be ultra-selective about the lots that comprise the final blends.

Brassfield Estate Readopts InnoVint After Making a Critical Mistake – Dropping It in the First Place

The InnoVint team sat down with Brassfield Estate to understand what caused them to make a change in winery software from vintrace to InnoVint.

The team, led by head winemaker, Carlos Valadez, told us about problems they had after stepping away from InnoVint for a short time due to a change in winemaking leadership. 

And though they realized their mistake early on, they couldn’t switch back until after the 2020 harvest, making for a tough season. 

“At first, the software that we switched to looked great…but then once we started doing the work, putting in weight tags, and trying to do work orders, we decided it was more work than it was worth. We realized that we had switched away from InnoVint at a terrible time…just a couple of months before we started picking’” says Joy Tackett, Production Assistant.

Before digging into their experience further, it might be helpful for you to know a bit about the history of Brassfield. 


History

Brassfield Estate is located in Clearlake Oaks, CA, 3000 ft. above sea level on the western section of High Valley, an old belt volcano.

Purchased in 1973 as what was once originally a cattle ranch and wildlife preserve, it is no surprise Brassfield Estate is still home to various wildlife, including turkey, mountain lions, and even the occasional bear family which frequents the estate’s pool. 

The estate began planting grapes in 2001, which now make up about 3000 acres of the property. These particular grapes are known for their thicker skins, bold flavors, and high-density profiles, attributed to the elevation and young soil rich from volcanic ash. Such grapes yield award-winning wines, such as their Sauvignon Blanc and Rosé.

The issue: Time wasted is money lost 

The Brassfield team continued to share the issues they encountered after switching systems right before harvest. As you can imagine, it was time-consuming. 

“The previous software was tough to learn. I was the main data entry person,” says Joy.

However, this wasn’t a welcomed responsibility. “I wasn’t supposed to be a data entry person, but I had to take on that responsibility.”

She continued: “I did a lot of training to be able to learn how to use the main features for harvest. I was constantly asking the team how to use it.” She needed to take time away from her regular work duties to learn a complex wine management software system.

“It was almost a full-time job for me… I could hardly go out to the cellar and do anything…working with the system for like 35 hours per week, almost the whole day.” 

“Once I learned how to use it better, which took several months… and was in the middle of harvest, it took maybe half my time. But we still had confusion. We still had to talk to accounting a lot, which was time-consuming.”

“There was a “steep learning curve,” added Megan Anderson, Lab Manager. The explanation can be summed up in an all too familiar phrase; time is money. And the more time the team spent inputting data or learning that more complex system, the more money they wasted. In fact, they were wasting so much time, they even thought about hiring more employees, which would have made the monetary loss all the more tangible.

“Turns out, I wasn’t crazy”- InnoVint Founder on the Future of Winemaking Technology

Eight years ago, I took a sharp left turn in my career.

One could call it a full 180 degree U-turn. I flipped it around and headed back in a direction I thought I’d left behind. 

Winemaking was my professional foundation, but I’d pursued a new direction in technology. I didn’t see a way for these worlds to mold together or traverse back into the world of winemaking until the idea for InnoVint naturally revealed itself.

Reflecting on this past year, I am reminded of this founding story and that, ironically, sometimes we have to turn around to move forward. I can think of many times when significant events ended up being quite defining. At the moment, the heaviness of the situation felt too much to bear, but after it passed and reflecting on it, it all felt meaningful and almost intentional at times, allowing us to be stronger and smarter for it.

As winegrowers, we have to let go enough to embrace whatever Mother Nature will dish up each year, but this year required a different release. The pandemic has forced us all to become comfortable with the uncomfortable and transition to a work environment many thought would never be possible.

Who would have guessed that Zoom would have been such a smart investment? Or that the wedding industry would completely crash? Or that the world of cloud-based software (SaaS, or software-as-a-Service) would experience a “covid boost” due to the global transition to remote work?

Who would have thought that remote winemaking would become a necessity

To bring the subject of this blog full circle, nope, turns out I wasn’t out of my mind, despite the numerous “Are you crazy? No one would ever let a winery employee bring a mobile device into a dirty wet cellar!” comments years ago. I wasn’t crazy to start a software company that allows winemakers to work remotely, execute and validate work in real-time, and manage from anywhere. To be fair, I didn’t anticipate this environment. Still, I did predict a new age of working where the information followed winemakers, rather than winemakers having to lock themselves to a computer to deal with any aspect of record-keeping.

Today, given all that’s transpired, InnoVint is now looking at winery management through an updated lens. What do winery owners care about most today? It’s not just about easing the burden of winery management and lowering compliance risk. How do we solve the greatest issues to keep wineries protected and healthy?

We’re deeply exploring how to address answers to these important questions our customers are asking: 

  • Is every product profitable? Not just analyzing general costing.
  • Am I selling into the right channels? To maintain a healthy diversified DTC and 3-tier balance.
  • Am I building a reliable consumer base of brand champions? To make sure I’m better prepared for the future. 
  • Am I spending the right amount on production? Compared to my peers of similar size and scale.
  • Am I making the best wine within my means? Fully analyzing all the variables. 

These are the core, fundamental questions that InnoVint looks forward to addressing by expanding on our current offerings and into new areas. 

In the spirit of embracing the unknown, here at InnoVint, we remain incredibly optimistic about the future. We have confidence we, the wine industry, will endure whatever the world throws at us.
